About the Role
We’re looking for an Administrative Coordinator who will keep our projects, team, and communication running smoothly. This position blends construction administration with owner support, so every day looks a little different. You’ll help organize information, manage client communication, and make sure our systems stay on track as we continue to grow.
This is an in-office role based in Eugene, Oregon. Our team works closely together, and we believe collaboration happens best when we’re side by side. If you enjoy being part of a hands-on, connected team environment, you’ll fit right in here.

What You’ll Do
Project and Office Administration

Enter new leads into our project management system and track them from estimate through job completion.

Manage estimate follow-ups at regular intervals.

Collect weekly recaps and schedules from the production team and prepare client update emails.

Create and send weekly invoices, review payment status, and close out jobs once final payment is received.

Maintain contracts, permits, insurance certificates, and project documentation.
​Owner and Operations Support

Assist the owner with scheduling, communication, and vendor coordination.

Support bookkeeping coordination and document organization.

Help refine administrative systems and templates as the company grows.

Track referrals, send client review requests, and assist with light marketing support.
​Client Experience

Manage service and warranty requests with professionalism and empathy.

Communicate clearly and consistently with clients and subcontractors.

What You Bring
-
Two to five years of experience in administration or project coordination, preferably in a construction or project-based business.

Strong communication and follow-through skills.

A natural eye for detail and a passion for organization.

Tech-savviness and comfort learning new systems. Experience with Buildertrend or QuickBooks is a plus but not required.

A positive, team-oriented attitude and a desire to grow with a company that values relationships and craftsmanship.
